Power BI is Microsoft's business intelligence tool for turning data into interactive dashboards. A first dashboard involves importing data, cleaning it with Power Query, building a simple data model, creating measures with DAX, adding visuals and slicers, and publishing to share. Beginners can build a useful dashboard within days.
What Power BI is for
Power BI connects to data sources such as Excel, databases and online services, and turns them into interactive reports. Managers can filter by month, region or product and see the numbers update instantly. It is widely used in finance, sales, operations and education.
The building blocks
- Power Query: cleans and shapes data (remove blanks, fix types, merge tables).
- Data model: tables connected by relationships, such as Sales linked to Products and Dates.
- DAX: the formula language for calculations called measures.
- Visuals: charts, tables, cards and maps.
- Slicers: interactive filters.
Your first dashboard, step by step
- Get data: import a sales spreadsheet with columns like Date, Product, Region, Quantity and Revenue.
- Clean it: in Power Query, set correct data types, remove empty rows and standardise names.
- Create a date table and relate it to your sales table.
- Write simple measures:
Total Revenue = SUM(Sales[Revenue])
Orders = COUNTROWS(Sales)
Average Order Value = DIVIDE([Total Revenue], [Orders])
- Add visuals: cards for key numbers, a line chart for revenue over time, a bar chart by product, a map or bar chart by region.
- Add slicers for date and region.
- Format with consistent colours and clear titles.
- Publish and share following your organisation's permissions.
Design tips
- Put the most important numbers at the top left.
- One message per visual.
- Avoid 3D charts and too many colours.
- Label clearly; avoid jargon.
- See data visualisation principles.
Common beginner mistakes
- Doing calculations in visuals instead of measures.
- Not using a proper date table.
- Messy relationships causing wrong totals.
- Overcrowded pages.
