To automate a weekly report, define the key metrics, connect the data sources (spreadsheets, CRM, accounting or ads platforms) to an automation tool, calculate the numbers with formulas or code, use AI only to write a short narrative summary of the verified numbers, and send the report on a schedule. Keep calculations deterministic and let AI explain, not compute.
Why automate reports
Managers need regular updates: sales, leads, expenses, website traffic, student attendance. Preparing them manually takes hours, is boring and introduces errors. Once automated, the report arrives every Monday morning, consistent and on time.
Step 1: Decide what matters
List five to eight metrics that actually drive decisions, for example:
- new leads by source,
- conversion rate from lead to customer,
- revenue and outstanding invoices,
- top-selling products or courses,
- website visits and enquiries.
More numbers do not mean a better report.
Step 2: Connect your data sources
Use an automation platform such as n8n, Make or Zapier to pull data from:
- Google Sheets or Excel online,
- your CRM,
- accounting software,
- e-commerce or booking platforms,
- analytics and ad platforms.
Step 3: Calculate with formulas, not AI
This is the crucial rule: numbers should be calculated deterministically, using spreadsheet formulas, database queries or code nodes. Language models can make arithmetic mistakes. Calculate first, verify, then pass the results to AI.
Step 4: Let AI write the narrative
Give the AI the verified numbers and last week's numbers, and ask for a short summary:
"Using only these figures, write a 5-sentence summary for the business owner: what improved, what declined, and one thing to look into. Do not invent reasons; if the cause is unknown, say so."
Step 5: Deliver it
Send as an email, a chat message or a PDF. Include a link to a live dashboard for anyone who wants detail, such as one built in Power BI.
Step 6: Monitor
Add alerts if a data source fails or values look abnormal, so a broken report does not go unnoticed.
Example output
Weekly summary, 6 to 12 October. New enquiries rose to 48 from 39, mainly from the website. Demo bookings were flat at 14, so the conversion rate fell from 36% to 29%. Revenue was 6% higher than last week. Outstanding invoices increased to 9. Suggest reviewing why fewer website enquiries are booking demos.
Report automation combines data analytics and AI automation skills, which makes it a valuable portfolio project.
Frequently asked questions
Can AI calculate the numbers directly?
It can, but errors happen. Use formulas or code for calculations and AI for explanation.
Which tool is best for automated reports?
Any of the major automation platforms can do it. Power BI or Looker Studio are useful for interactive dashboards.
Is it safe to send business data to AI?
Use business-grade AI services with appropriate data terms, and send only the aggregated figures needed.
